How to Sign a PDF Electronically

A visible electronic signature can be typed, drawn or uploaded and placed on a PDF. It is different from a certificate-based digital signature that verifies identity and detects later changes.

Choose the correct signature method

Typing is useful when a clean and legible mark is acceptable. Drawing works well with a touchscreen or stylus, while an uploaded PNG can preserve a signature you already use.

If uploading an image, crop away unnecessary space and confirm that its background does not cover the signature line. A transparent PNG is often easier to place than a photograph of paper.

Place signatures, initials and dates

Read the document first and identify every required field. Some forms require initials on multiple pages, a date beside the signature, or a printed name in a separate area.

Zoom in before placement. Keep the signature within the intended box, preserve nearby wording, and use a consistent size across repeated initials.

Electronic and digital signatures are different

A visible electronic signature shows a mark on the page. A certificate-based digital signature uses cryptography to associate a certificate with the document and can warn when the file changes later.

Contracts, government forms and regulated workflows may specify which method is accepted. Ask the recipient when the instructions are unclear.

Inspect the signed copy

Download and reopen the PDF. Check that every signature, initial, date and checkmark appears on the correct page and remains inside its field.

Keep the unsigned original. Send only the completed copy after confirming that the recipient accepts the chosen signature method.
